# Prospecting Time-Block Calculator

> The exact formula chain: from pipeline target down to daily prospecting hours: so a rep or manager can calculate precisely how many hours a day of prospecting are required to hit the number, using their own connect and conversion rates.

Free calculator/tool for sales reps. Topic: [Prospecting & Outbound Strategy](https://www.peerlab.ai/library/topic/prospecting-outbound-strategy/). ## How to use it

Plug your own pipeline target, deal size, and historical connect/conversion rates into the formula chain (or the spreadsheet formula row) to get an exact daily prospecting-hour number, then block that time on your calendar using the weekly template.

## What's inside

- The 6-step formula chain from pipeline dollars to daily hours
- Definitions for every rate used in the formula
- Fully worked numeric example
- Blank fill-in-your-numbers version
- Spreadsheet-ready formula row to paste into Excel/Sheets
- Weekly time-block schedule template
- Conservative placeholder rates for reps without historical data yet

## The formula chain

| Step | Calculation | Produces |
|---|---|---|
| 1 | Pipeline target ($) ÷ Average deal size ($) | Opportunities needed |
| 2 | Opportunities needed ÷ Meeting-to-opportunity rate (%) | Meetings needed |
| 3 | Meetings needed ÷ Meeting-set rate (meetings booked per conversation, %) | Conversations needed |
| 4 | Conversations needed ÷ Connect rate (conversations per dial, %) | Dials needed |
| 5 | Dials needed × Avg minutes per dial (talk + wrap-up) | Total prospecting minutes needed |
| 6 | Total minutes ÷ 60 ÷ working days in the period | Daily time-block (hours/day) |

### Rate definitions
- **Meeting-to-opportunity rate:** % of booked meetings that become a qualified pipeline opportunity.
- **Meeting-set rate:** % of live conversations that result in a booked meeting.
- **Connect rate:** % of dials that result in an actual conversation with a real person (not voicemail/gatekeeper).
- **Avg minutes per dial:** blended average across connects and non-connects, include CRM logging time.

## Worked example

Assumptions:
- Quarterly pipeline target: **$600,000**
- Average deal size: **$30,000** → 20 opportunities needed
- Meeting-to-opportunity rate: **40%** → 50 meetings needed
- Meeting-set rate: **20%** → 250 conversations needed
- Connect rate: **15%** → 1,667 dials needed
- Avg minutes/dial: **4 minutes** → 6,668 minutes ≈ 111 hours
- Working days in the quarter: **60** → **≈ 1.85 hours/day** of active dialing

*(This is dial time only: add discovery-question prep, list-building, and CRM admin on top; most reps should plan for roughly 1.5× the raw dial-time figure as their total daily prospecting block.)*

## Blank version: fill in your own numbers

| Input | Your number |
|---|---|
| Pipeline target ($) | |
| Average deal size ($) | |
| → Opportunities needed | |
| Meeting-to-opportunity rate (%) | |
| → Meetings needed | |
| Meeting-set rate (%) | |
| → Conversations needed | |
| Connect rate (%) | |
| → Dials needed | |
| Avg minutes per dial | |
| → Total minutes needed | |
| Working days in period | |
| **→ Daily time-block (hours)** | |

## Spreadsheet formula row
Paste these into adjacent cells (B = your inputs):

```
Opportunities needed = B_target / B_deal_size
Meetings needed = Opportunities_needed / B_meeting_to_opp_rate
Conversations needed = Meetings_needed / B_meeting_set_rate
Dials needed = Conversations_needed / B_connect_rate
Total minutes needed = Dials_needed * B_minutes_per_dial
Daily hours needed = (Total_minutes_needed / 60) / B_working_days
```

## Weekly time-block template

| Day | 9:00–10:30 | 10:30–11:00 | 2:00–3:00 |
|---|---|---|---|
| Mon | Prospecting block (calls) | List-build / research | Follow-ups (email/LinkedIn) |
| Tue | Prospecting block (calls) | List-build / research | Follow-ups |
| Wed | Prospecting block (calls) | List-build / research | Follow-ups |
| Thu | Prospecting block (calls) | List-build / research | Follow-ups |
| Fri | Prospecting block (calls) | Pipeline review / CRM cleanup | Account planning |

## If you don't know your own rates yet
Use these conservative placeholders until you have 4 weeks of your own logged data, then replace them:

| Rate | Conservative placeholder |
|---|---|
| Connect rate | 10% |
| Meeting-set rate | 15% |
| Meeting-to-opportunity rate | 35% |
| Minutes per dial | 4 minutes |

Recalculate monthly: rates shift with seasonality, list quality, and rep tenure.
