# Prospecting Time-Audit Calculator

> A one-week time-logging grid plus a rollup calculator that turns "I never have enough time to prospect" into an exact number of hours a week that admin, internal meetings, and CRM entry are quietly taking off your selling time.

Free calculator/tool for sales reps. Topic: [Psychology, Mindset & Productivity](https://www.peerlab.ai/library/topic/psychology-mindset-productivity/). ## How to use it

Print or copy the daily grid five times and log every 30-minute block for one working week using the six codes, then run the rollup formulas to see your real Selling Time % and biggest leak.

## What's inside

- 5-day, 30-minute-increment logging grid (8am-6pm)
- 6-code activity taxonomy: SELL / PREP / ADMIN / INTERNAL / TRAVEL / OTHER
- Weekly rollup formula for hours and % per category
- Selling-Time % benchmark table: Elite / Healthy / At Risk / Critical
- Leak-identification step to isolate your single biggest non-selling category
- 4 targeted recovery tactics, one per leak type
- Hours-given-back projection formula with worked example
- 30-day re-audit trigger and target movement

You already suspect the week isn't going where you think it's going. This turns that suspicion into a number: exactly how many hours a week are going to direct selling versus admin, internal meetings, and CRM housekeeping: and which one leak, fixed, gives you the most time back.

## Step 1: Log one full week

Every 30 minutes, write the code for what you actually did (not what was scheduled). Log honestly, this only works if the data is real.

**Activity codes**

| Code | Meaning |
|---|---|
| SELL | Live conversations with prospects/customers: cold calls, discovery, demos, negotiation, follow-up calls |
| PREP | Research, list-building, call planning, pre-call prep tied to a specific prospect |
| ADMIN | CRM data entry, expense reports, scheduling, paperwork, email triage not tied to an active deal |
| INTERNAL | Team standups, pipeline reviews, forecast calls, 1:1s, internal Slack/email |
| TRAVEL | Commuting to/from meetings, in-transit time |
| OTHER | Breaks, personal time, anything not covered above |

**Daily log grid** (copy this table 5 times, or print 5 copies, one per weekday)

| Time | Code | Time | Code |
|---|---|---|---|
| 8:00–8:30 | | 1:00–1:30 | |
| 8:30–9:00 | | 1:30–2:00 | |
| 9:00–9:30 | | 2:00–2:30 | |
| 9:30–10:00 | | 2:30–3:00 | |
| 10:00–10:30 | | 3:00–3:30 | |
| 10:30–11:00 | | 3:30–4:00 | |
| 11:00–11:30 | | 4:00–4:30 | |
| 11:30–12:00 | | 4:30–5:00 | |
| 12:00–12:30 | | 5:00–5:30 | |
| 12:30–1:00 | | 5:30–6:00 | |

Extend the grid if your day runs later than 6pm.

## Step 2: Weekly rollup

Add up total half-hour blocks per code across all 5 days, then convert to hours (blocks ÷ 2).

| Code | Total blocks (Mon–Fri) | Hours | % of week |
|---|---|---|---|
| SELL | | | |
| PREP | | | |
| ADMIN | | | |
| INTERNAL | | | |
| TRAVEL | | | |
| OTHER | | | |
| TOTAL | | | 100% |

**Formulas:**
- Hours = Total blocks ÷ 2
- % of week = (Hours in category ÷ Total logged hours) × 100
- **Selling Time % = SELL hours ÷ Total logged hours × 100**

## Step 3: Benchmark your Selling Time %

| Selling Time % | Band | Read |
|---|---|---|
| 50%+ | Elite | Rare: protect this ruthlessly, it's your edge |
| 40–50% | Healthy | Sustainable; small optimizations only |
| 25–40% | At Risk | Non-selling work is materially capping your output |
| Under 25% | Critical | You are structurally unable to hit a number built on selling time you don't have |

A useful working target for most quota-carrying roles: **40% of the logged week in direct SELL time.** Below that, the shortfall isn't effort, it's calendar math.

## Step 4, Find your single biggest leak

Look at your rollup table. Excluding SELL and PREP (which are the job), whichever of ADMIN / INTERNAL / TRAVEL has the highest hour count is your leak. Fix that one first, chasing three leaks at once fixes none of them.

**If ADMIN is the leak:**
- Batch CRM entry into two fixed 15-minute windows a day (e.g. 11:45am and 4:45pm) instead of updating after every call.
- Use voice-to-text for call notes immediately after hanging up, then paste into CRM during the batch window.
- Template your 3 most common admin tasks (expense line items, standard proposal boilerplate, meeting recap emails).

**If INTERNAL is the leak:**
- List every recurring internal meeting you attend and ask, for each one: "Does the outcome change if I read the notes instead of attending?" Decline the ones where the answer is yes.
- Ask your manager to convert one recurring status meeting into an async update (shared doc, Slack thread).
- Batch internal 1:1s and check-ins back-to-back on one day rather than scattering them across the week.

**If TRAVEL is the leak:**
- Cluster in-person meetings by geography/day instead of criss-crossing across the week.
- Convert one recurring in-person internal touchpoint to video.
- Use commute time productively for PREP work you'd otherwise do at a desk (call planning, not deal work requiring a screen).

## Step 5: Project the time given back

**Hours given back = (Leak category hours) × (realistic reduction %, typically 30–50% for a first pass)**

Example: INTERNAL = 8 hours/week, 40% reduction target → **3.2 hours/week given back to SELL**, or roughly 13 hours a month, more than a full selling day.

## Step 6, Re-audit

Run this same log again in 30 days. Your target: Selling Time % should move at least 5 points toward the next band up. If it hasn't moved, the leak wasn't behavioral: it's structural, and it's a conversation for your manager, not another personal fix.
